Fundraising Process Improvement & Compliance Specialist
We provide free cancer support and information in our specially designed centres across the UK and online. Working alongside NHS hospitals, Maggie’s centres are staffed by expert Cancer Support Specialists, Psychologists and Benefits Advisors, helping people take back control when cancer turns life upside down. Our long-term ambition is to be there for everyone with cancer in the UK, at all 60 cancer centre sites. Our aim is to ensure that there is no-one living with cancer who is unable to access the expert psychological and information support that they so desperately need to live the best quality of life possible. The next five years brings us over the halfway mark to achieving this goal.
About the Post Holder
As a specialist is analysing, evaluating and improving business processes, you will maximise efficiency and ensure associated compliance. You will do this in depth for individual processes and ensure multiple inter-linked processes deliver a highly effective end-to-end process set. You’ll be familiar with lean and/or six sigma principles relating to process improvement and a strong advocate of the benefits of optimal process design in delivering internal client and supporter satisfaction. You will track and understand current legislation, regulation and best practice relating to fundraising, and will proactively challenge and improve related process compliance accordingly. With excellent planning, administrative and organisational skills you will communicate clearly and concisely (verbally and in writing). You will have strong understanding and experience of working with IT and database teams and will be proficient with the full Microsoft Office Suite. You will be able to self-direct and take responsibility for your own work, whilst participating as a team member. You will be enthusiastic, personable, able to relate to people at all levels and be a quick learner in acquiring new skills, principles and knowledge.
About the Role
This role will support colleagues and different teams through fundraising process improvement, ensuring operational processes are designed, implemented and embedded effectively and efficiently in order to maximise fundraising contribution and associated compliance, minimise associated cost-to-serve and ultimately help Maggie’s help more people with cancer. You will be responsible for curating and standardising process documentation, linking this to supplier contracts, internal policies, IT and database programs and code, as well as to over-arching supporter/stewardship journeys. Quantifying hard and soft benefits arising from process change will also be important. The post holder will establish strong collaborative working relationships both internally and externally, and internally they will work with colleagues at all levels.
- Deploy leading-edge and innovative process analysis and improvement techniques with which to optimise process design, maximise process efficiency, minimise cost-to-serve and ensure compliance of fundraising processes;
- Proactively but collegiately challenge the status quo with the aim of championing improved process efficiency, reduced waste and improved compliance;
- Support staff to ensure that lean principles and best-practice process challenge are employed in the design and review of all processes and procedures, with emphasis on consistency;
- Support the ongoing development, implementation and delivery of new practices, end-to-end processes and over-arching fundraising policies across the organisation;
- Lead process analysis and process mapping workshops, documenting ‘as-is’ and ‘to-be’ processes – plus associated benefits – for onward approval;
- Assist with fundraising business process redesign where this is driven by regulatory/legislation change, IT system change, database change or similar;
- Write, distribute and maintain clear and professional process and policy documents, and ensure these align with training guides and collateral, to a high and consistent standard;
- Support colleagues to ensure thorough testing and analysis of improved processes are carried out before such solutions are fully implemented across the wider organisation;
- Ensure that each member of staff has the guidance and support to write and maintain their own process documents which are approved by you prior to adoption into Maggie’s process library;
- Compile detailed written business requirements for sub-mission into IT and database teams for the successful delivery of agreed process improvements and assist colleagues in the same.
- Work with the Training Co-ordinator to ensure any necessary training of process improvements is delivered to all affected staff;
- Proactively review, audit and impact-assess current and upcoming fundraising regulation and legislation on Maggie’s fundraising processes, procedures and policies, delivering or recovering compliance accordingly;
- Curate and maintain a single authoritative source of all documented fundraising processes, associated policies, suppliers, contracts, program code, supporter journeys, letter templates etc., with appropriate house style and tone of voice plus governed version control and systematic numbering; ensure these are available to staff via our document sharing solutions;
- Maintain the confidentiality of personal and sensitive data with which the post holder comes into contact in full compliance with GDPR;
- Provide training and mentoring to all staff in relation to process change and support the introduction of change management.
Essential skills and experience
- Educated to degree level (or equivalent), plus lean, six-sigma or equivalent qualification
- In-depth understanding of process analysis and improvement techniques
- At least three years’ experience in a process improvement environment
- Familiarity with legislative and regulatory compliance, and its role in process (re-)design
- Robust problem-solving skills with an exceptional eye for detail and benefits identification
- Excellent process documentation skills, particularly Visio, and Microsoft Office skills
- Well organised, calm yet assured, a good listener
- In-depth understanding of fundraising-related legislation/regulation, or ability to pick this up
- Ability to engage professionally with all colleagues and respond positively to suggestions
- Determined, professional, friendly and resourceful
